    Salary: GS-06 $18.93 per hour (Step 01) to $29.57 per hour (Step 10); NOTE: First time hires to the Federal Government are typically hired at the Step 01.

    The USGS Western Ecological Research Center is seeking associate, undergraduate, graduate level student working towards a degree in Administration to gain practical experience in Business Administration and Management.
    As a Student Trainee (Admin Support) you will serve in a trainee capacity, performing routine and recurring development assignments to acquire knowledge and understanding of functions, principles, practices, and methods used in the area of Administrative Management.

    Duties include: 

    • Time and Attendance duties. Input time into Quick time for field personnel who do not have access. Adjust Quick time profiles and favorite codes for accounts. Validate time sheets at the end of every pay period. Complete paperwork for hazardous pay, overtime, compensatory time, etc.
    • Charge Card and Payments. Assist field station staff with their charge card packets by creating logs and gathering receipts. Ensure statements are signed by both the employee and supervisor. Review account codes and GL accounts provided by the card holder for accuracy with the budget and availability of funds. Process charge card adjustments in FBMS. Complete the review cover sheet to ensure all purchases are appropriate. Provide knowledge of the charge card policy to field station staff.
    • Process travel authorizations and/or travel vouchers relating to domestic travel. Enter applicable data into the Travel Manager Computerized System (Concur). Maintain accurate files for all types of WERC travel. Process complex travel vouchers with supervisor input. Assist travelers in the preparation of travel arrangements including reservations and transportation for domestic travel.
    • Initiate personnel action requests as guided by field station(s) supervisors. Provide guidance and administers the entrance on duty paperwork for new employees and reviews documents for accuracy and completeness. Assists in areas of administration such as receiving incoming calls, filing, daily building close procedures, report and coordinate equipment repairs such as copiers, distribute mail to employees, fulfill basic secretarial functions as needed. Provide information and knowledge on different USGS policies/procedures/processes. Assist with year-end close by inputting accruals and processing adjustments in the financial system.
