    Summary

    This Term Appointment will initially be for a two-year period, but may be extended for a total of five years. Should the need arise, this position may be made permanent without further competition.

    Responsibilities

    As an employee on a Term Appointment, you will not acquire competitive status and you will not be covered by the agency's Interchange Agreement with the Office of Personnel Management, which allows for noncompetitive transfer from CNCS to other agencies in the competitive service of the federal government.     The incumbent serves as a Program Support Assistant and is responsible for supporting AmeriCorps State and National in administrative and other higher level support functions.

    • Uses independent decision-making skills to provide administrative support that requires substantial knowledge of the department and excellent communication and office management skills.
    • Perform calendar management duties related to staff meetings and events.
    • Supports with the management of team meetings, including scheduling meetings, taking minutes, preparing and disseminating agenda items and minutes, preparing all necessary documents, and ensuring staff are kept informed of meetings.
    • Prepares departmental spreadsheets and maintains databases.
    • Determines urgency of requests for information and referring matters that require technical expertise or immediate action to appropriate staff.
    • Works with new employees to ensure orientation is coordinated and any pertinent documents are provided.
    • Assist in maintaining and archiving program and administrative files.
    • Grantee Management: schedule grantee calls about policies related to grant implementation, update the grantee directory, manage the five grantee distribution lists and the inboxes for departmental e-mail addresses, and send emails on behalf of the department to the grantees.
    • Review and process all disability accommodation requests from grantees.
    • Manage staff internet and intranet webpages, including the organizational charts.
    • Draft weekly departmental reports.
    • Serve as the liaison with the Office of External Affairs representing the program.
    • Prepare and format interoffice communications including, letters, reports, presentations, and confidential documents.
    • Provide administrative support to the director.
    • Performs other related duties as assigned.
